Reporting to the Executive Director, the full time Executive Assistant (EA) is responsible for providing support to the Executive Director, office administration, and duties relating to planning and organizing the Executive and other CCCA Committees.   The EA must be self-motivated with the ability to multitask and perform high-level duties with minimal supervision.

Governance Support for the Executive and Other CCCA Committees

  • Provides administrative support to the Executive and other CCCA Committees, including correspondence
  • Responsible for the Executive and other CCCA Committees schedule and travel, with a particular focus on annual schedule of meetings
  • Working with the Executive Director, prepares agendas and meeting packages
  • Coordinates Team meetings and takes minutes, prepares minutes of meetings, manages Action and Bring Forward items
  • Maintains a repository of documents as needed
  • Coordinates travel and accommodation for EC Members

Executive Director (ED) support

  • Manages the ED’s schedule
  • Prepares expense claims for the ED
  • Provides support for the ED for CBA Committees and the ICW

Membership Support

  • Monitor and update the CCCA database in iMIS

General Administration

  • Respond to general inquiries
  • Maintain electronic and hard copy filing system
  • Maintain association contacts and committee lists
  • Process expense claims for committee members and volunteers
  • Perform basic accounting tasks, including submitting and tracking payables, invoicing, budget tracking, reconciliation
  • Provide support for meetings and events


Minimum Educational Requirements:

  • Post-secondary Degree or Diploma in a relative field of study
  • A combination of education and experience will be considered​

Minimum Experiential Requirements:

  • 5 years’ experience in a related role
  • Advanced organizational skills
  • Advanced interpersonal skills with the ability to be tactful, diplomatic and discreet
  • Advanced problem-solving skills and ability to multi-task;
  • Intermediate financial skills (ability to work with Excel, spreadsheets and budgets)
  • Ability to work under strict deadlines;
  • Ability to work independently and under pressure
  • Advanced verbal and written communication skill, in both official languages is required;
  • Advanced Word, Excel, Adobe and PowerPoint skills
  • Bookkeeping experience is considered an asset
  • Availability to work overtime and travel when required
