Position Title: Adminstrative Assistant - Membership / Communications

Start date: June 5, 2008

Reports to: Director of Stakeholder Relations

Summary of Job Responsibilities:

Provides administrative support and secretarial duties to the Director of Stakeholder Relations, and the team consisting of: Web Manager, Communications Coordinator, and Database Membership Coordinator.

Detailed Job Description includes but is not limited to:

  • Schedule meetings and co-ordinate follow-up action plans
  • Format a variety of forms and data to prepare for web inclusion
  • Mail and email contact preparation with a variety parameters to members and non-members about projects and ongoing recurring programs
  • Prepare packages for recurring member solicitation and keep records of same
  • Prepare mail merges, prepare labels, collate correspondence and stuff envelopes
  • Learn the iMIS database and provide assistance investigating and gathering contact information for updating the database.
  • Data entry and retrieval from various sources including Online Legal Resource Directory online directory licenses. Able to do excellent online searches.
  • Make advertising calls to sponsors and law firms for publication and Law Week
  • Other assigned duties as required

Required Knowledge, Skills and Ability:

  • Excellent oral and written English communication skills
  • Typing speed of 50 WPM and experience using online search engines
  • Advanced MS Office XP skills, database experience, including Alpha / Numeric data entry and filing
  • Strong organizational, detail-oriented, multi-tasking and prioritizing skills
  • Punctual, reliable, adaptable, flexible and able to take direction cheerfully
  • Proactive, motivated and good problem solver
  • Tact and diplomacy in dealing with Association members and the public

Preferred Candidate:

  • Has an administrative interest in communications, design and data
  • Has experience providing support in publication/web/or committee environment
  • Has personal integrity, high work standards and is mature

Salary: Commensurate with skills and experience.
